These Terms and Conditions apply to all bookings, purchases, and participation in experiences offered by Moonlight Retreats (we, us, our), including multi-day retreats, day events, workshops, circles, and any related digital offerings.
By applying, joining a waitlist, paying a deposit, purchasing a ticket, or attending, you agree to these Terms.
1) Definitions
- Retreat means any multi-day travel experience organised by Moonlight Retreats.
- Event means any in-person or online offering run by Moonlight Retreats that is not a multi-day Retreat.
- Booking means your application acceptance, reservation, ticket purchase, or payment.
- Deposit means the upfront payment (if offered) used to secure your place.
- You means the person making the Booking and any person attending under that Booking.
2) Booking and Acceptance
- Your Booking is confirmed once payment is received and you receive written confirmation (usually by email).
- If a Retreat requires an application, we may accept or decline applications to protect the group experience and safety.
- You are responsible for providing correct contact details at checkout.
3) Pricing and Currency
- Prices are displayed in AUD unless stated otherwise.
- Prices may change at any time, but your price is locked in once you’ve booked.
4) Payments and Deposits
- Some Retreats/Events may offer a Deposit option. If offered, the Deposit secures your place and is applied toward your total.
- If you use a payment provider (Afterpay, Klarna, PayPal, or similar), you also agree to their terms.
- Any bank or currency conversion fees are your responsibility.
5) Balance Due Dates (if you pay a deposit)
- If you book with a Deposit, your remaining balance must be paid by the due date shown on the booking page or in your confirmation email.
- If your balance is not paid by the due date, we may cancel your place and apply the cancellation terms in section 6.
6) Refunds, Cancellations, and Transfers
- Unless required by Australian Consumer Law, the rules below apply.
- Change-of-mind
- Bookings are generally non-refundable for change-of-mind, schedule changes, travel issues, or personal circumstances.
- Transfer to another person
- If you can’t attend, you may request to transfer your Booking to another person for the same Retreat/Event (subject to suitability and capacity).
- You must notify us in writing with the new attendee’s full name, email, and phone number by the deadline stated on the booking page (or at least 7 days before a Retreat start date, and 48 hours before an Event, if no deadline is stated).
- Transfer to another date
- Date transfers are only available if we offer them for that specific Retreat/Event. If not stated, date transfers are not guaranteed.
- Illness and emergencies
- If you’re unwell or dealing with an emergency, contact us as soon as possible. We may offer a credit at our discretion, but we do not promise refunds.
- No-shows
- If you do not attend, you forfeit your Booking and no refund or credit is provided.
7) If We Change, Reschedule, or Cancel
- Sometimes changes happen due to weather, safety, facilitator illness, venue issues, government restrictions, or circumstances outside our control.
- If we cancel
- You may choose either a full refund of amounts paid to us, or a credit for a future Moonlight Retreats offering (details provided in writing).
- If we reschedule
- Your Booking will move to the new date, or you may request a refund/credit if you can’t attend the new date (we’ll outline the options in the reschedule email).
- Extra costs
- We are not responsible for external costs you may have booked (flights, accommodation, visas, taxis, babysitters, travel upgrades, etc.).
8) Travel Insurance
- For Retreats (anything involving travel), we strongly recommend comprehensive travel insurance that covers cancellation, medical expenses, and travel disruption.
- Travel insurance is your responsibility.
9) Health and Personal Responsibility
- Moonlight Retreats experiences may include movement practices, yoga-inspired sessions, breathwork, meditation, sound healing, emotional processing, and group sharing.
- You confirm you are fit to participate and you take responsibility for your own wellbeing.
- You agree to seek medical advice before participating if you have any relevant conditions, injuries, pregnancy, PTSD, heart conditions, epilepsy, or other concerns.
- Our offerings are not medical, psychological, or psychiatric treatment, and we do not provide medical advice.
10) Code of Conduct
- To protect the group and the experience, you agree to:
- treat others with respect, confidentiality, and care
- not attend under the influence of drugs or excessive alcohol
- follow facilitator instructions and venue rules
- We may refuse entry or remove a participant (without refund) if their behaviour is unsafe, disruptive, discriminatory, or breaches confidentiality.
11) Confidentiality
- You agree not to share other participants’ stories, names, identities, or private details outside the Retreat/Event without clear consent.
12) Photos and Video
- We may capture photos or videos for marketing and community content.
- By attending, you consent to being photographed or filmed unless you opt out in writing before the Retreat/Event or tell a team member on arrival.
- You may take personal photos, but you must get consent before filming or posting other participants.
13) Intellectual Property
- All materials, recordings, and content we provide remain our intellectual property unless stated otherwise.
- You may not reproduce, distribute, sell, or share our materials without written permission.
14) Venue Rules and Damage
- You agree to comply with venue and accommodation rules.
- You are responsible for any damage you cause.
15) Force Majeure
- We are not liable for changes, delays, or cancellations caused by events outside our reasonable control (natural disasters, pandemics, government restrictions, civil unrest, venue closures, and similar).
16) Limitation of Liability
- To the maximum extent permitted by law:
- we are not liable for loss, injury, illness, or damages arising from your participation, travel, or third-party services
- you participate voluntarily and at your own risk
- Nothing in these Terms excludes rights you have under Australian Consumer Law.
17) Privacy and Communications
- By booking, you agree we may contact you via email and/or SMS or what’s app for important updates (logistics, timings, what to bring).
- Marketing emails are optional and you can unsubscribe at any time.

18) Governing Law
These Terms are governed by the laws of Victoria, Australia, and you submit to the courts of that jurisdiction.
